It’s often the difference between a business that thrives and one that doesn’t make it to the next quarter. [H3] Why Cashflow Matters More hospitality businesses fail because of cashflow problems than because of poor trade. You can have loyal regulars, a packed calendar of events, and a menu that draws people in from miles around — and still run out of money. Cashflow problems creep up quickly in pubs and bars because the gap between when money goes out and when it comes in is rarely symmetrical. Deliveries need paying for. Staff wages go out every week. HMRC doesn’t wait. But income can fluctuate wildly between a quiet Tuesday and a bank holiday weekend. Understanding and actively managing your cashflow gives you: Control — you know what’s coming and when Confidence — you can make decisions without panic Credibility — lenders and landlords trust operators who have a grip on their numbers Resilience — when the unexpected happens (and it always does), you’re ready [H3] Cashflow vs. Profitability: Not the Same Thing If you’re new to business ownership, be sure you’re completely clear on the difference between cashflow and profitability. Profit is what’s left over after all your costs are subtracted from your revenue. It’s an accounting figure — it tells you whether the business is making money on paper over a given period. Cashflow is what’s actually moving in and out of your bank account, and when. Here’s a practical example: Imagine you run a private hire event in December. You invoice the organiser for £3,000. They pay 30 days later, in January. In December, your profit calculation includes that £3,000 — but your bank account doesn’t. Meanwhile, you’ve already paid the extra staff, the decorations, and the additional stock. In December, you’re cashflow negative on that event, even though it was profitable. This is why a business can be profitable and still fail. Cash is the oxygen your business breathes. Profit is the long-term health report. You need both, but cash is what keeps you alive day to day. [H3] What Does Cashflow Actually Look Like in Hospitality? In most industries, cashflow follows a fairly predictable pattern. In hospitality, it’s anything but. Your cash inflows include: Daily bar and food sales (usually immediate, although it sometimes takes a few days for credit card transactions to process) Private hire and events (often invoiced, sometimes with deposits) Gaming machines and accommodation if applicable Seasonal spikes: Christmas, bank holidays, local events Your cash outflows include: Stock purchases and cellar deliveries (typically weekly or fortnightly) Staff wages (weekly or fortnightly) Rent and utilities (monthly or in advance, often large sums) VAT (quarterly) Business rates, insurance, licences Maintenance and equipment costs (often unplanned) The challenge is that many of your outgoings are fixed and predictable, while your income is variable and seasonal. A bad week of weather or a local competitor opening up can create sudden cashflow pressure that’s hard to absorb if you haven’t planned for it. [H3] Two Types of Cashflow: Daily and Forecasted When it comes to managing cashflow in your venue, it helps to think about it in two distinct ways. 1. Daily Cashflow This is your real-time financial position, what’s actually in your till and your bank account right now. It covers: The cash and card receipts taken each day Petty cash and float management Daily or weekly supplier payments Wage runs Any immediate, unplanned expenses Daily cashflow management is operational. It’s making sure the money coming in today is enough to cover what needs to go out this week. 2. Forecasted Cashflow This is your forward-looking view — a planned projection of what money you expect to receive and pay out over the coming weeks and months. At Carroll’s, we typically do cashflow projections on a 13-week basis and include: Anticipated revenue based on bookings, seasonal patterns, and historical data Planned expenditure: rent, wages, stock orders, upcoming tax bills Known irregular costs: refurbishment, equipment replacement, licensing renewals Forecasted cashflow is strategic. It allows you to anticipate problems before they become crises, and to plan for investment or growth from a position of clarity rather than guesswork. Both matter. Daily cashflow stops you running out of money this week. Forecasted cashflow stops you running out of money in three months. [H3] How to Manage Daily Cashflow Good daily cashflow management comes down to discipline, visibility, and a few solid habits. 1. Reconcile your tills and accounts every day. Don’t wait until the end of the week to find out where you stand. A daily reconciliation comparing your till readings, card terminals, and bank balance gives you an accurate picture in minutes and flags discrepancies before they become bigger problems. 2. Separate your business and personal finances. It sounds obvious, but many sole traders and small operators blur these lines. Keep a dedicated business account. It makes your cashflow picture far cleaner and simplifies everything come tax time. 3. Know your break-even point. What does your venue need to take each week just to cover its fixed costs? Knowing this number means you always know whether you’re above or below the waterline on any given day. 4. Manage your stock ordering carefully. Over-ordering is one of the most common ways cash gets tied up unnecessarily. Order little and often rather than in large bulk quantities, unless you have a genuine cost saving and the storage capacity. Wastage and spoilage are direct hits to your cashflow. 5. Chase outstanding payments promptly. If you run events or private hire, make sure your payment terms are clear and follow up on anything overdue immediately. Thirty days outstanding can quickly become ninety if you let it drift. 6. Build a cash buffer. Aim to keep a reserve in your business account equivalent to at least four to six weeks of fixed costs. This is your safety net for slow weeks, equipment failures, or unexpected gaps in income. [H3] How to Forecast Your Cashflow Cashflow forecasting doesn’t need to be complicated, but it does need to be honest. The goal is a realistic picture of your financial future, not an optimistic one. 1. Understand the Big Picture Stop thinking about just paying the bills. Forecasting forces you to ask: “Can I afford that kitchen refurb next year?” or “What happens if the summer is a washout?” You want to plan for growth, not just survival. 2. Choose the Right Forecast Horizon A decent cashflow forecast should cover 3, 6 or even 12 months ahead. If you’re only looking one month ahead, you’re too close to the cliff edge. Use your seasonal patterns, events calendar and planned promotions to estimate income. Then map out your costs (wages, stock, loan repayments, insurance renewals, the lot).
